Acceptance of Terms

By accessing or using CondoTrack, you agree to be bound by these Terms of Service. If you do not agree, do not use the platform. Use of CondoTrack constitutes acceptance of these terms on behalf of yourself and, where applicable, the condo association you represent.

Description of Service

CondoTrack provides a cloud-based platform for condo association management, including:

• Maintenance task management and scheduling
• Equipment tracking and mechanical room management
• Meeting management and minutes recording
• Document storage and organization
• Member and vendor directory management
• Reserve fund tracking and simulation
• Bill 16 compliance monitoring
• Calendar and scheduling tools
• Multi-association and multi-building support

The service is provided as-is and we reserve the right to modify features with reasonable notice.

User Responsibilities

As a user of CondoTrack, you agree to:

• Provide accurate and complete information when creating your account
• Maintain the security of your account credentials
• Use the service in compliance with all applicable laws and regulations
• Not share account access with unauthorized users
• Ensure that data entered complies with privacy laws regarding personal information

You are responsible for all activity under your account.

Pricing and Payment

CondoTrack operates on an annual subscription model:

• Single Association: $500/year for a single association
• Additional Associations: $500 for the first association + $400/year for each additional association (Management Company plan)

All prices are in Canadian dollars and subject to applicable taxes.

Free Trial

New accounts receive a 30-day free trial with full access to all features. No credit card is required for the trial. At the end of the trial, you must subscribe to continue using the service. Data created during the trial is preserved when you subscribe.

Data Ownership

You retain full ownership of all data you enter into CondoTrack. We do not claim any intellectual property rights over your content. You may export your data at any time. Upon account termination, your data will be retained for 90 days before permanent deletion.

Security

We implement industry-standard security measures including:

• Encrypted data transmission (TLS/SSL)
• Encrypted data storage
• Role-based access control
• Regular security audits and monitoring

While we take security seriously, no system is completely secure. You are responsible for maintaining the confidentiality of your login credentials. Privacy Policy.

Service Availability

We strive to maintain high availability but:

• The service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control
• We do not guarantee 100% uptime
• We are not liable for any loss resulting from service interruptions

We will make reasonable efforts to provide advance notice of scheduled maintenance.

Limitation of Liability

To the maximum extent permitted by law, CondoTrack shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities.

Our total liability for any claim arising from the use of the service shall not exceed the amount you paid for the service in the 12 months preceding the claim.

Acceptable Use

You agree not to use CondoTrack to:

• Store, transmit, or distribute illegal or harmful content
• Attempt to gain unauthorized access to other accounts or systems
• Interfere with the operation of the platform
• Use automated tools to scrape or extract data from the platform

We reserve the right to suspend or terminate accounts that violate these policies.

Termination

Either party may terminate the subscription at any time. Upon termination, your access to the platform will continue until the end of your current billing period. After termination, your data will be retained for 90 days before permanent deletion. You may request data export before termination.

Changes to Terms

We may modify these terms at any time. Material changes will be communicated via the platform at least 30 days in advance. Continued use after changes take effect constitutes acceptance of the new terms.
